The Process combines an accountable Personal Moving Assistant, a personalized plan and checklist, specialists with different areas of experience, a shared project-management system, regular team reviews, documented checkpoints and continuing communication from planning through delivery.
The Process is standardized where standardization helps prevent tasks from being missed, but customized where the circumstances of an individual client or move require it.
One Personal Moving Assistant Is Responsible for Your Move
If you become a client of Best Mexico Movers, you will be assigned a Personal Moving Assistant, or PMA. Your PMA has overall responsibility and accountability for coordinating your move from beginning to end.
That does not mean that your PMA tries to be the expert on every subject. International moves involve different specialties, areas of expertise and capabilities. As the need arises, your PMA will draw on the appropriate Best Mexico Movers staff member or outside specialist, such as a licensed customs broker or our insurance-company partner, while continuing to maintain responsibility for coordinating your move as a whole.
The result is that your PMA will be the one person who understands and is responsible for your overall move while still having access to all the resources and experience available through the broader Best Mexico Movers team, including outside specialists who are not members of our staff.
Every Move Gets a Personalized Plan and Checklist
Best Mexico Movers has developed process templates and procedures from our experience. Those templates provide a starting point and outline, but every move is different.
Your PMA creates and maintains a personalized checklist for you. Depending on the particulars of your move, the checklist may address matters such as:
- your origin, destination and timing;
- what is being moved and the estimated volume;
- packing and loading arrangements;
- insurance requirements and deadlines;
- your immigration status and the documents needed for the customs process;
- customs inventory and prohibited or restricted items;

The checklist also provides target dates for the items that need to be completed.
The checklist is a working document, as is the information maintained in our project-management system. As information about your move changes or is updated, completed tasks are recorded and items that are late or require attention are identified.
We Review the Plan With You
Your personalized checklist is not simply sent to you and forgotten. Your PMA will review it with you so that both you and Best Mexico Movers can verify that everyone understands what needs to happen, who is responsible for each item, and the order things need to happen.
After your review, your PMA will follow up on the issues that require attention. This can include insurance, packing and loading, truck access, customs documents, destination information, timing, communication and contingency planning.
This two-way review is important because you may have a question or provide details during the review that affect your plan. Our objective is to identify those issues while there is still time to deal with them, rather than after the truck is loaded or waiting at the border.
We Pay Attention to What Has to Happen and in What Order
Many parts of an international household goods move depend on something else being completed first. Immigration status can affect customs documentation. Insurance requirements can affect what must happen before an electrical item is unplugged or before packing begins. Customs paperwork must be accurate and complete when required so that our partner customs brokers can make the necessary submissions to the appropriate customs systems on time.

Your PMA remains responsible for your move, but your PMA does not work in isolation.

Best Mexico Movers requires clients to address insurance before the physical move. We will provide you with detailed information about the insurance available through our U.S.-based insurance-company partner, the valuation process, important requirements and the actions that can affect whether an item is eligible for a particular type of coverage.
We also review with you important insurance requirements and ask you to acknowledge your understanding of specific points. The purpose is not simply to provide you with an insurance document. It is to reduce the chance that a misunderstanding about your coverage could create a problem later if a claim is necessary.
Best Mexico Movers coordinates and assists you with this process; the insurance coverage itself is provided under the applicable insurance policy and by the insurance provider.
Packing and Loading Are Planned Before Moving Day
Packing and loading are important both for protecting your household goods and for satisfying applicable insurance requirements. Before packing and loading, we communicate information that the crew needs to know about your shipment and any special considerations. During the process, photographs and other documentation can be used to help Best Mexico Movers monitor what is happening and address questions while there is still time to correct them.
Your exact packing arrangement will depend on your choices and the requirements that apply to your move. Because decisions about how your household goods are packed can affect insurance coverage, packing decisions are coordinated with the insurance process rather than treated solely as a packing-and-loading issue.
Preparing the Customs Documentation
Crossing an international border with your household goods requires accurate documentation and the involvement of a licensed customs broker. Best Mexico Movers helps you understand what information is needed, gathers and organizes the information required for your move, and coordinates with the appropriate licensed customs broker.
You will also receive information about prohibited and restricted items and you may be asked to acknowledge specific requirements so that important restrictions are not overlooked.
The roles are distinct. You are responsible for providing accurate and complete information and required personal documents. Best Mexico Movers coordinates the moving process and helps prepare and organize the information needed for the shipment. The licensed customs broker performs the customs-broker functions, and the appropriate government authorities make the customs decisions.

Final Readiness Before the Truck Arrives
As moving day approaches, your PMA will bring the different parts of the plan together. Best Mexico Movers checks the status of the packing and loading arrangements, transportation, insurance, customs documentation, timing, origin and destination access, your availability and other items that could affect your move.
Your important client-specific information is carried forward so that it reaches the people who need it. The objective is to avoid having a critical detail remain buried in an old email or conversation when the packing crew, transportation provider, customs team or delivery crew needs to know it. This is exactly what our standard operating procedure and project-management system are designed to avoid.
Transportation From Your Origin to the Border
Best Mexico Movers plans the transportation from your origin to the border based on the shipment, location, access and other circumstances of the move.
Our standard operating procedure is to keep your household goods out of warehouses. Your shipment is transported to the planned crossload rather than being placed into storage along the way or at the warehouse of a customs broker or any other partner. Extremely unusual circumstances outside the normal process—for example, a temporary shutdown of U.S. or Mexican customs computer systems that prevents the planned crossing—can occasionally require short-term warehousing. This happens only very rarely and is not part of our standard operating procedure.
Avoiding warehousing and unnecessary handling is intentional and part of what separates us from larger competitors. Every additional unloading, storage period and reloading creates another opportunity for delay, confusion or damage. With our procedure, we avoid as much of that as is possible.
The Border: A Planned Crossload and Customs Process
A household goods move from the United States or Canada to Mexico, or from Mexico to the United States, normally requires the shipment to move between the transportation systems used on the two sides of the border. Best Mexico Movers plans and coordinates that transfer, which we refer to as the crossload.
The crossload is not an unplanned interruption in the move. It is part of the process. The shipment arrives at the appropriate location, the transfer is coordinated, the required customs procedures are handled with the licensed customs broker and appropriate government authorities, and the shipment continues on the transportation arranged for the next part of the move.
Best Mexico Movers works with multiple licensed customs brokers and selects the route and border crossing appropriate for your move well before the truck reaches the border. We do not require every client to clear through the same border or use the same method. The route is selected according to the circumstances of your move.
Transportation Through Mexico
After the shipment has completed the applicable customs process, it continues through Mexico under the transportation plan established for that move. Best Mexico Movers coordinates the transportation, monitors progress and communicates with you as your shipment moves toward the destination.
Where applicable, numbered tamper-evident seals and other controls are used as part of the transportation process. The objective is to maintain continuity and accountability from the crossload through delivery—what we refer to within our Process as maintaining the “chain of custody” of your shipment.
We Plan the Delivery Before the Truck Reaches Your Destination
Delivery planning begins before the shipment arrives at your delivery location. In Mexico, access can be affected by much more than the street address.
Best Mexico Movers considers whether the truck can physically reach the delivery location and whether a smaller vehicle or another unloading arrangement will be required. We also consider circumstances such as local festivals or holidays that could close or restrict streets, special permits that may be required, local customs or rules that affect access, the location and height of cables, ruts in the road, and unusual situations that may require advance coordination with local police or other authorities.
The objective is to discover and plan for those circumstances before the truck is at the destination, not after.
Delivery and Unloading
Best Mexico Movers coordinates the final delivery and unloading according to the destination plan. If the transportation vehicle can reach the delivery location, the unloading can proceed according to that arrangement. If it cannot, the alternative that was planned in advance can be used.
The delivery crew will have received the information needed for your move, including special considerations identified earlier in the process, well before this date.

With You
